We are seeking a highly organized and detail-oriented Administrative Assistant to support our Alternatives Investment Team on a hybrid schedule in St. Petersburg Florida. This role is critical in ensuring smooth operations, managing sensitive information, and producing high-quality presentations and reports for senior leadership.
About the Opportunity:
- Assignment Length: 6-month contract, maternity leave coverage
- Schedule: 3x week onsite, 2 days work from home
- Hours: 8:30am to 5pm
Key Responsibilities:
- Provide comprehensive administrative support to the Alternatives Investment Team.
- Manage and organize confidential and sensitive information with discretion.
- Assist in preparing and editing PowerPoint presentations using firm templates for internal and external stakeholders.
- Extract key themes and insights from financial and strategic documents.
- Support the creation of decks and report-outs for senior leadership.
- Maintain tracking spreadsheets in Excel, utilizing pivot tables and VLOOKUP for data organization and reporting.
- Coordinate logistics for team activities.
- Collaborate with cross-functional teams to ensure timely and accurate information flow.
Required Skills & Qualifications:
- Exceptional organizational skills with a strong attention to detail and responsiveness.
- Proven ability to handle confidential and sensitive information with integrity.
- Advanced PowerPoint skills with a sharp eye for formatting and visual clarity.
- Proficiency in Excel, especially in using pivot tables and VLOOKUP for illustrative and tracking purposes.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Basic foundation in finance required.
Preferred Experience:
- Prior experience supporting investment or finance teams.
- Exposure to alternatives, mutual funds, or ETFs.
- Familiarity with global financial reporting and distribution structures.
