We are seeking a highly organized Documentation & Inventory Specialist – Hardware to manage and track hardware assets across multiple NYC locations. This role supports the full device life-cycle, from deployment to recovery, including inventory documentation, storage organization, and asset decommissioning. The ideal candidate has hands-on experience with hardware inventory systems and is comfortable traveling across boroughs. You’ll play a key role in ensuring accurate records and smooth coordination with vendors and internal teams.
***Hybrid in Downtown NYC, 3-4 days on-site with 50% travel to 4 of the boroughs (Manhattan, Queens, Brooklyn, and the Bronx)***
Responsibilities:
- Conduct detailed physical inventory assessments across multiple locations in NYC
- Track and manage hardware devices including laptops, iPads, Chromebooks, and MacBooks using serial numbers and asset tags
- Maintain accurate records of hardware inventory through tools such as ServiceNow and Google Sheets
- Support the full device life-cycle: including procurement coordination, deployment, reallocation, and decommissioning
- Organize and optimize storage areas, cages, and hardware closets to ensure safe and efficient hardware management
- Coordinate with vendors for hardware setup, drop-off, pick-up, and buyback or e-waste logistics
- Work closely with IT and Operations teams to determine hardware disposition (reuse, return, or disposal)
- Assist in asset recovery efforts to retrieve unused or lost devices and document outcomes
- Ensure data accuracy and compliance in hardware reporting and documentation processes
Qualifications:
- 2+ years of experience in IT asset management, hardware inventory, or a similar role
- Strong understanding of hardware lifecycle and asset recovery best practices
- Familiarity with devices including Chromebooks, iPads, MacBooks, and other enterprise laptops
- Experience using inventory and ticketing systems like ServiceNow, and spreadsheet tools like Google Sheets
- Excellent organizational skills and strong attention to detail
- Comfortable lifting and moving hardware equipment as part of daily responsibilities
- Effective communication and collaboration skills across departments and vendors
