A global investment firm in NYC is seeking an experienced Administrative professional to join their growing team as an Executive Assistant to support multiple Senior Executives and their teams.
About the Opportunity:
- Schedule: Monday to Friday
- Hours: 8:30am to 5:30pm or 9am to 6pm
Responsibilities:
- Substantial calendar management in Outlook
- Creating and modifying PowerPoint presentations (i.e., Marketing Materials, etc.), including the incorporation and formatting of charts, graphs, and images
- Accurately creating, formatting, and maintaining detailed Excel reports and Word documents utilizing advanced technical skills
- Creating complex domestic and international travel itineraries and meetings; maintaining a travel profile for each executive with updated travel documents
- Balancing conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines
- Proactively bringing together appropriate people and resources to support the Executives in addressing issues
- Managing email filing and document preparation for internal and external meetings
- Handling clerical duties, including mailing, copying, binding, submitting, and processing invoices
- Performing other duties, as needed
Qualifications:
- 5+ years of experience providing Administrative Support at the Executive-level
- Bachelor’s Degree
- Microsoft Office proficient (Excel, Outlook, PowerPoint, Word, etc.)
- Working knowledge of Concur and/or Expense Management tools
- Exceptional phone etiquette
- Great interpersonal skills
- Excellent communication skills (written and verbal)
- Strong attention to detail
- Highly organized
- Able to multitask efficiently and effectively
