IT Asset Coordinator
A top Fortune 50 financial institution based in Vienna, VA is currently seeking an IT Asset Coordinator to join their team. This 100% onsite role will support IT operations by coordinating asset management, inventory, distribution, and disposal activities to ensure smooth departmental operations.
About the Opportunity:
Location: Vienna, VA – 100% onsite
Schedule: Standard business hours, Monday–Friday
Hours: 40 per week
Setting: Corporate IT environment
Duration: Contract assignment
Responsibilities:
The IT Asset Coordinator will be responsible for:
Receiving Services
Confirm receipt of products and IT assets
Identify IT assets for tracking purposes
Close purchase orders
Scan and update IT assets in the IT Asset Management system
Record tag numbers, descriptions, model numbers, serial numbers, manufacturers, and purchase orders
Inventory Warehousing Services
Provide inventory warehousing services onsite and offsite
Manage space, distribution speed, security, and transport requirements
Coordinate temporary storage of IT assets (90–120 days) and longer-term storage
Perform monthly and/or quarterly inventory counts
Ensure integrity of storage facilities and asset database
Advise customers on inventory results and distribution plans
Provide additional inventory counts as requested
Distribution Services
Provide worldwide delivery services, including dock-to-dock and priority events
Identify cost-effective options for on-time delivery/pickup
Select and fund shipping vendors as needed
Scan equipment to receiving entities to ensure traceability
Disposal and Recycling Services
Assist with disposal of obsolete or irreparable equipment in accordance with Security Instruction 2681
Disable data-storing equipment by removing storage components or batteries
Maintain and share disposal records with IT Asset Management Team
Perform onsite shredding of data-storing components and maintain records
Ensure onsite shredding vendors are approved by Security
Follow NIST compliance requirements
Miscellaneous
Serve as vendor liaison (e.g., Advanced Technology Recycling, ITAD Tech, IBM)
Maintain logistics equipment (vans, golf carts, pallet jacks)
Manage cardboard recycling and trash disposal
Use ServiceNow to track inventory, log time, update/confirm assets, and close tickets
Demonstrate proficiency in Microsoft 365 (Outlook, Teams, SharePoint) and Excel
Adapt to rapidly changing processes and implement new directives
Qualifications:
Excellent organizational and multitasking skills
Strong communication and coordination abilities
Experience with IT asset management and inventory control
Knowledge of project management tools
Ability to work independently and collaboratively across teams
Attention to detail and accuracy in maintaining records
Desired Skills:
ServiceNow experience
M365 proficiency (Outlook, Teams, SharePoint)
Advanced Excel skills
Experience with IT asset disposal/recycling processes
Familiarity with NIST compliance and Security Instructions
